Why a Timeline Matters

Adjust the specifics to your event type, but follow the timeline.
12 Months Out
- Set the budget (total and by category)
- Choose a date (or narrow to two or three options)
- Research and visit venues
- Book the venue (the first thing to lock down)
- Begin the guest list
- If it's a wedding: choose the wedding party
10 to 11 Months Out
- Book the photographer
- Book the caterer (or begin conversations if the venue has a preferred caterer)
- Book entertainment (DJ, band, or musicians)
- Research florists and decor providers

8 to 9 Months Out
- Send save-the-dates (weddings) or initial announcements (corporate events)
- Book the florist

6 to 7 Months Out

- Get rest
Day Of
- Eat a real breakfast
- Arrive at the venue on time (not early, not late)

- Delegate anything that comes up to your coordinator or a designated decision-maker
