Why the Right Questions Matter
A venue tour is exciting. You walk in, you fall in love with the space, and your brain starts planning the reception before you've asked a single practical question. That's exactly when expensive surprises happen.
The venue that looks perfect during a tour might have a mandatory caterer you can't afford, a hard stop at 10 PM that cuts your reception short, or a cleanup fee that wasn't in the brochure. Asking thorough questions upfront protects you from regret later.
Bring this list to every venue tour. Take notes. Compare answers across venues. The best venue isn't just the prettiest one; it's the one where the answers work for your wedding.
Pricing and Contracts
- What is the total venue rental fee, and what does it include?
- Is there a minimum spend requirement (especially for catering)?
- What is the deposit amount, and when is it due?
- What is the payment schedule for the remaining balance?
- Are there separate fees for the ceremony and reception, or is it one package?
- What are the overtime fees per hour?
- Are there any seasonal or day-of-week price differences?
- Is sales tax or service charge added on top of the quoted price?
- What is the cancellation and refund policy?
- Can we see a sample contract before committing?
Capacity and Layout
- What is the maximum guest capacity for a seated dinner?
- What is the capacity for a cocktail-style reception?
- Is there a minimum guest count requirement?
- Can we see floor plan options for our estimated guest count?
- Where would the ceremony take place?
- Where would cocktail hour be held?
- Is there a separate space for the wedding party to get ready?
- Is there a bridal suite or groom's room?
- How many restrooms are available, and where are they located?
- Is the venue ADA accessible?
Catering and Bar
- Is catering provided in-house, or do we bring our own caterer?
- If in-house, can we schedule a tasting?
- If outside catering, are there preferred vendors or restrictions?
- What bar and beverage packages are available?
- Can we bring our own alcohol? Is there a corkage fee?
- Are there options for dietary restrictions (vegetarian, vegan, gluten-free, kosher)?
- What does table service include: linens, china, glassware, flatware?
Logistics and Setup
- How many hours does the rental include?
- When can vendors arrive for setup?
- When does everything need to be cleaned up and removed?
- Are tables, chairs, and basic decor included?
- Is there a loading dock or easy vendor access?
- How much parking is available? Is it free for guests?
- Is there a shuttle or valet option?
- Can we have a rehearsal at the venue, and is there an additional fee?
Weather and Backup Plans
- What is the backup plan if it rains on the day of an outdoor ceremony?
- Who makes the call to move indoors, and when is that decision made?
- Does the indoor backup accommodate all guests comfortably?
- Is there an additional fee for using the backup space?
Rules and Restrictions
- Are there noise restrictions or a hard end time for music?
- Are open flames (candles, sparklers) allowed?
- Are there restrictions on decorations: confetti, petals, tape on walls?
- Can we have a live band, or only a DJ?
- Is the venue exclusively ours for the day, or are there other events happening simultaneously?
- Are pets allowed (specifically for couples who want their dog in the ceremony)?
Coordination and Support
- Does the venue provide a day-of coordinator or point of contact?
- Will someone be on-site during the entire event?
- Do you have a list of preferred vendors you've worked with before?
- What happens if something goes wrong (power outage, plumbing issue)?
- Can we see photos or videos from recent weddings held here?
How to Use These Answers
After touring two or three venues, sit down with your partner and compare the answers side by side. Build a spreadsheet with one column per venue and one row per question. The venue where the most answers align with what you want and need is usually the right choice, even if it wasn't the one that gave you the strongest first impression.
