The Master Timeline
Wedding planning has a natural sequence. Some things need to happen first because other decisions depend on them. Book the venue before the caterer (the caterer needs to know the kitchen). Buy the dress before the bridesmaids' dresses (their dresses should complement yours). This timeline follows the logical order.
12 Months Out
- Set your budget: Be honest about what you can spend. Include everything: venue, food, drinks, attire, flowers, music, photography, and a 10% contingency.
- Create your guest list: Start with a number, not names. "We want a 150-person wedding" is the starting point. Names come second.
- Book the venue: The venue determines the date, the guest count, and the atmosphere. Book this first.
- Research and book the photographer: Top photographers book 12 to 18 months out. Start looking immediately after the venue.
10 to 11 Months Out
- Book the caterer: Once you have the venue and date, book the caterer (or confirm the venue's in-house catering).
- Choose your wedding party: Ask your attendants. Give them time to commit.
- Start dress shopping: Bridal gowns take 4 to 8 months to order and 2 to 3 months for alterations. Start now.
- Research DJs or bands: Good entertainment books far in advance.
8 to 9 Months Out
- Book the DJ or band: Lock in your entertainment.
- Book the florist: Meet with 2 to 3 florists, discuss your vision, and choose one.
- Order save-the-dates: Send them 6 to 8 months before the wedding.
- Book the officiant: Religious or secular, confirm your officiant and begin discussing the ceremony.
- Research videographers: If video is important to you, book now.
6 to 7 Months Out
- Send save-the-dates: Especially important for destination weddings or weddings near holidays.
- Book the videographer
- Reserve hotel room blocks: Negotiate group rates at 2 to 3 nearby hotels.
- Plan the honeymoon: Book flights and accommodations while prices are reasonable.
- Order the wedding dress: If you haven't already, this is the deadline.
- Schedule tastings: With your caterer and cake baker.
4 to 5 Months Out
- Order invitations: You'll need 2 to 3 weeks for printing.
- Create the wedding website: Include logistics, registry, and accommodation information.
- Book hair and makeup: Schedule a trial run.
- Register for gifts: At 2 to 3 stores/registries.
- Choose bridesmaid dresses: Allow 2 to 3 months for ordering.
- Book transportation: Shuttle, limo, or vintage car for the couple.
2 to 3 Months Out
- Send invitations: 8 weeks before the wedding, with an RSVP deadline 3 weeks before.
- Apply for your marriage license: Pennsylvania requires a 3-day waiting period.
- Plan the rehearsal dinner: Venue, menu, and guest list.
- Finalize ceremony details: Vows, readings, music, and processional order.
- Begin dress alterations
- Meet with the DJ/band: Share must-play and do-not-play lists.
1 Month Out
- Confirm all vendors: Contact every vendor to reconfirm dates, times, and details.
- Submit final guest count: To the caterer and venue.
- Create the seating chart: After RSVPs are in.
- Write vows: If you're writing your own, don't wait until the last week.
- Break in your shoes: Wear them around the house.
