How to Approach a Venue Tour
A venue tour is part fact-finding mission, part gut check. You're gathering information to make a rational decision, but you're also seeing if the space gives you a feeling. Both matter. The venue where the numbers work and the feeling is right is the one you should book.
Most couples tour three to five venues before making a decision. That's enough to calibrate your expectations without creating decision paralysis. Here's how to make each tour count.
Before the Tour
- Know your numbers: Have your approximate guest count, budget range, and preferred date(s) ready before you call.
- Research the venue: Read the website, look at past wedding photos, check reviews on Google and The Knot.
- Prepare your question list: Bring the questions below printed out, with space for notes.
- Bring your partner: Both of you should experience the space together.
- Charge your phone: You'll be taking photos and video.
What to Observe During the Tour
The Space Itself
- Stand in the ceremony area. Does it feel right for your vision?
- Sit in a chair in the reception space. Look around. Imagine the room full.
- Notice the natural light. How does it change depending on where you stand?
- Check the ceiling height. Low ceilings feel intimate but can be problematic for tented dance floors.
- Look at the floors. Are they level? Will heels be stable? Is there a real dance floor?
- Notice the acoustics. Clap your hands. Spaces with hard surfaces echo; spaces with soft furnishings absorb sound.
The Grounds
- Walk every ceremony option. Picture yourself, your partner, and your officiant in each spot.
- Look for photo opportunities: interesting walls, gardens, archways, water features, distant views.
- Check the parking. Is it paved or gravel? Is it close to the event space? Is there enough for your guest count?
- Note the approach. How will guests arrive? What's the first thing they'll see?
The Practical Stuff
- Locate the restrooms. Are they clean, adequate, and convenient to the event spaces?
- Find the kitchen or catering prep area. Is there running water, counter space, and electrical access?
- Check cell signal. Guests and vendors need connectivity.
- Look for the vendor load-in route. How will caterers, DJs, and florists get their equipment to the event space?

About Availability and Pricing
- Is our preferred date available?
- What is the venue fee, and what does it include?
- Are there different rates for different days of the week or seasons?
- What's the deposit, and what's the payment schedule?
About Logistics
- How many hours does the rental include? What are overtime fees?
- When can vendors arrive for setup?
- When must everything be cleared out?
- Is there a coordinator or venue contact on-site during events?
About the Experience
- Can we have both ceremony and reception here?
- What's the backup plan for weather?
- Are there noise restrictions or end-time limits?
- Is the venue exclusively ours, or are there other events on the same day?
About Food and Drink
- Is catering included or separate? If separate, are there restrictions?
- Can we bring our own alcohol?
- Is there a minimum spend requirement?
After the Tour
Within 24 hours of each tour (while the experience is fresh), do the following:
- Write down your gut reaction: One sentence. How did the place make you feel?
- Review your notes: Mark any unanswered questions to follow up on.
- Compare photos: Put your venue photos side by side. Which spaces excited you most?
- Do the math: Fill in a cost comparison spreadsheet. Include the venue fee plus all required add-ons.
- Talk it over: Discuss the tour with your partner. What stood out? What concerned you?
The Comparison Framework
After touring three or more venues, rank them on these criteria:
- Does it fit our budget? (Yes/No/Stretch)
- Does it fit our guest count? (Too small / Just right / Too large)
- Does it match our vision? (Completely / Partially / Not really)
- How did we feel? (Loved it / Liked it / Meh)
- Logistics score: (Easy / Manageable / Complicated)
