The Tour Is Where Decisions Get Made

Photos and websites narrow the list. The tour is where you make the decision. What looks perfect online might feel wrong in person (too dark, too small, bad energy). And the venue you almost skipped might become the one the moment you walk in.

Treat the tour like a job interview: you're evaluating the venue, and they're evaluating whether you're a good fit. Come prepared.

Before the Tour

  • Know your guest count range: Even an estimate helps the venue show you relevant spaces.
  • Know your budget range: Don't fall in love with a venue you can't afford. Ask about pricing before the tour.
  • Know your date range: Even a general season helps narrow availability.
  • Bring your partner: Both of you need to feel the space. One person's tour isn't enough.

What to Look at

The Space Itself

  • Light: How does natural light enter the space? Where will you be standing during the ceremony? Will the sun be in your guests' eyes at your ceremony time?
  • Size: Does the room feel right for your guest count? Too large feels empty; too small feels cramped. Ask them to show you a setup for your size.
  • Acoustics: Clap once. Does the sound ring or absorb? Echoey spaces make speeches hard to hear without a mic.
  • Temperature: Is there climate control? In what season are you getting married? Ask how the space feels in July and November.
  • Smell: Musty? Fresh? Does it smell like a barn (which may be charming or unpleasant depending on your tolerance)?

The Grounds

  • Where would ceremony photos be taken?
  • Is there a backup indoor space for weather?
  • How far do guests walk from parking to the ceremony to the reception?
  • Is the ground accessible for elderly guests, wheelchairs, and high heels?

The Logistics

  • Restrooms: Where are they? How many? Are they accessible?
  • Parking: How many cars? Is it paved, gravel, or grass? Lit at night?
  • Kitchen: Is there a prep kitchen for caterers? What equipment is available?
  • Getting-ready rooms: Is there a bridal suite and groom's room? Are they air-conditioned?
  • Storage: Where can vendors store equipment, and when can they access the site?

Questions to Ask

  1. What's included in the rental fee? (Tables, chairs, linens, setup help?)
  2. What time can vendors arrive for setup?
  3. What time does the event need to end?
  4. Are there noise restrictions?
  5. Is there a venue coordinator on-site during the event?
  6. How many events do you host per weekend?
  7. What's the rain plan?
  8. Can we bring our own alcohol, or is there a bar minimum?
  9. What insurance do we need?
  10. What's the cancellation and postponement policy?

Red Flags

  • The venue won't give you a clear, written pricing sheet
  • You can't see the space set up for an event (even photos of a real event help)
  • No backup plan for weather
  • The coordinator seems disorganized or unprepared during the tour
  • Hidden fees that weren't disclosed before the visit
  • No references or reviews available

After the Tour

Immediately after each tour, write down your top 3 impressions and any concerns. After seeing 3 to 5 venues, they blur together. Notes and photos taken during the tour are essential for comparison.
